Deficiencies and warranty

Finish the deficiency list, then keep track of what comes back.

The last two weeks of a job are a list of small things that decide whether the client refers you. Ridgepole keeps that list on the job, and keeps the warranty calls that come in after it.

On every plan

The deficiency walk

Walk the house with the client and add each item from your phone: what it is, where it is (“master ensuite, left vanity door”), how urgent, who owns it and when it is due. Your field crew can add and update items too.

  • Who owns it: your crew, a sub-trade, or the client
  • Priority: low, medium or high
  • Status: open, in progress, resolved or disputed

Disputed is a status, not an argument

Some items are not deficiencies. They are a change the client wants, or damage somebody else did. Mark it disputed and it stays on the list, visible, instead of being quietly deleted or quietly done for free.

The list shows how many items are open, in progress, resolved and disputed, and filters by each, so you know how close you are to done.

Warranty claims after handover

When the client calls about a sticking door eight months later, log it on the job: what is wrong, who is responsible (you, a sub-trade, or the manufacturer), and the warranty period. Move it through open, in review, assigned, and resolved or denied, with notes on how it was settled.

Open claims and closed ones are listed apart, so a claim does not get forgotten because it is mixed in with the ones already fixed.

Built for how it works in Canada

Called a deficiency list

It is called what you call it. The tab on the job reads Deficiencies.

New home warranty programs are separate

Where a provincial new home warranty program applies, such as Tarion in Ontario, its forms and deadlines are its own. Ridgepole keeps your claims and your fixes on the job, dated, as your record alongside the program’s process.

Questions builders ask

Can my crew update items from the site?

Yes. Field users can add and update deficiencies from a phone, so the person who fixed it marks it resolved standing in front of it.

Can I hand a deficiency to a sub-trade?

Yes. Set who owns it to a sub-trade, with the exact location and a due date, and filter the list by status to see what is still open.

What if the client says an item is not a deficiency?

Mark it disputed. It stays on the list, visible and counted, instead of being quietly deleted or quietly done for free.

How do warranty calls get logged?

When the client calls or emails, log the claim on the job with who is responsible and the warranty period, and move it through to resolved or denied with a note on how it was settled.
